What to expect and when

Onboarding happens in stages

Here is what you can expect at the key milestones within each stage. This might look complicated, but don’t worry. We will be managing as much of this as possible in the background to reduce complexity for you as best as we can. From pre-kickoff through ongoing maintenance, we’ve got you covered.

But we do want you to feel comfortable with the key activities at each stage. This will help you know what to be ready for, so your timeline stays on track.

Throughout each stage of onboarding you will be in contact with the following team members:

Remember, to avoid delays in site activation, work orders must be signed and executed.

During this phase, you will also be partnering with your Executive Sponsor who will:

Level set expectations on role
Set up the cadence of touch base points throughout the course of your relationship
Support BD/CF on startup agreement and work order execution

Start-up agreement can be used for faster study launch.
A startup agreement is put into place when we want to expedite specific activities before all of the budget and contract details of the broader study are fully worked out. This enables basic activities to begin in parallel to final contracting.

This stage is when your budget is set, you’ll have your kickoff meeting and meet your project lead.

Your executive sponsor will be engaged in KOMs and support the full scope of services you’re outsourcing

Site Activation and Governance

This is a critical time for your study and one that can set the tone for the road ahead. This is the stage when you have your first site activation. Because we always want to be ready for whatever a study brings, this is also when we establish your governance and escalation pathways.

During this stage, you will meet with your contracting, operations finance, and legal team to:

First site activated and first patient in are exciting milestone, but your study is not done until it’s done. Enabling full recruitment to stay on track and the ability to solve any challenges that arise will becoming the primary focus of your team once the study is underway.
